Position Summary
Healthlink Advisors is seeking an Operations Coordinator to join our team, specializing in executive-level operational support. This role will provide comprehensive administrative and operational assistance to two senior executives, ensuring the smooth execution of their business functions and enabling them to focus on strategic priorities.

In this position, you will have the opportunity to:
- Serve as a key support resource to senior executives, proactively managing daily operations and administrative tasks.
- Calendar & Schedule Management: Maintain complex executive calendars, coordinate meetings, and resolve scheduling conflicts. Coordinate and manage travel arrangements.
- Meeting Preparation: Prepare agendas, gather materials, and ensure all necessary documentation is available ahead of time for internal and client meetings. Assist with taking meeting minutes and documenting/following up on action items.
- Communication Management: Draft, review, and organize emails, presentations, and reports on behalf of executive leadership.
- Task & Deliverable Oversight: Track action items and key deliverables, ensuring timely follow-up with stakeholders.
- Operational Support: Support operational initiatives, monitor project progress, and help implement process improvements.
- Presentation Development: Create high-quality presentations and reports using tools like Google Suite and ChatGPT.
- Special Projects: Contribute to strategic projects, including research, implementation support, and reporting.
Qualifications
To be successful in this role, candidates should possess the following qualifications:
- Minimum of 5 years of experience as an executive assistant, operations coordinator, or similar role.
- Strong Organizational Skills: Ability to prioritize and manage multiple tasks with attention to detail and efficiency.
- Proactive Problem-Solving: Ability to anticipate needs, resolve issues independently, and escalate concerns appropriately.
- Technical Proficiency: Proficiency in Google Suite and Microsoft (Docs, Sheets, Slides, Gmail), and familiarity with project management tools and generative AI tools such as ChatGPT.
- Effective Communication: Strong verbal and written communication skills, including the ability to produce professional reports and presentations.
- Confidentiality: Ability to handle sensitive information with discretion and professionalism.
- Adaptability: Comfortable working in a dynamic, fast-paced environment with shifting priorities.
This is a remote position. Must reside in the United States, cannot reside in California. Saint Petersburg/Tampa, FL area preferred.
